Frequently Asked Questions
Everything you need to know about exporting Stripe reports, converting CSVs for QuickBooks, clearing accounts, and reconciliation.
- 1. Which Stripe report should I export?
- The “Balance change from activity” report, itemized, from Reports → Balance in your Stripe dashboard. It includes gross revenue, processing fees, net amounts, refunds, disputes, and bank payouts. The Payments export from the Payments tab does not include payout transfers or fee deductions, so it cannot be reconciled to your bank.
- 2. Is my financial data uploaded to your server?
- No. The file is parsed and converted entirely inside your browser using client-side JavaScript. Your file data never leaves your computer. Our server only records high-level metadata (such as row count and date range) so we can debit usage credits from your account.
- 3. Why split fees into separate lines?
- So your Profit & Loss statement reflects true gross revenue and your Stripe merchant fees as an operating expense. If you only record the net deposit hitting your bank account, you understate both revenue and expenses on your tax filings and financial reports.
- 4. Where do I import it in QuickBooks Online?
- We recommend creating a bank account named “Stripe Clearing” in your Chart of Accounts. Then go to Banking / Transactions → Bank transactions → Upload from file, and choose that account. When Stripe payouts hit your real bank checking account, classify them as transfers from Stripe Clearing.
- 5. What if my Stripe file has more than 1,000 rows?
- QuickBooks Online has a strict limit of 1,000 transaction rows per CSV upload. PayoutPrep automatically splits large files into sub-999 row batches and packages them into a ZIP archive along with a README.txt file detailing the exact sequential import order and totals.
- 6. Does it work with QuickBooks Desktop?
- PayoutPrep is built specifically for QuickBooks Online standard CSV bank import specifications. Many QuickBooks Desktop users import the same 3-column CSV files into their accounts, but we do not officially support QuickBooks Desktop IIF formats.
- 7. Can I convert multiple currencies in one file?
- Yes. In QuickBooks Online, each bank account is assigned to a single currency. If your Stripe export contains transactions in multiple currencies (e.g. USD, EUR, JPY), PayoutPrep allows you to select which currency to convert and cleanly isolates those rows.
- 8. What is your refund policy?
- We offer a 14-day no-questions-asked money-back guarantee. If a converted file fails to import into QuickBooks or you encounter any technical issues, simply email us at support@getpayoutprep.com within 14 days for a prompt refund.
